Import Ledger Masters with Multiple Aliases
Published
This exercise teaches you how to import Ledger masters with
multiple aliases from Excel into Tally Prime. It supports
upto 10 aliases per ledger. Here, you will write several NAME tags inside
one NAME.LIST: the first
NAME becomes the ledger name and every following NAME becomes
an alias, each fetched from its own Excel column using the COLUMNREFERENCE attribute.
Step 1 — Prepare the Excel sheet
Create an Excel sheet with the ledger name in Column A and up to ten aliases in Columns B to K, one ledger per row. Leave a cell blank where a ledger has fewer aliases.
| A | B | C | D | E | F | G | H | I | J | K | |
|---|---|---|---|---|---|---|---|---|---|---|---|
| 1 | name | alias-1 | alias-2 | alias-3 | alias-4 | alias-5 | alias-6 | alias-7 | alias-8 | alias-9 | alias-10 |
| 2 | Parimal Arts | P-1 | P-2 | P-3 | |||||||
| 3 | V S Traders | V-1 | V-2 | V-3 | V-4 | V-5 | |||||
| 4 | A R S Marketing | A-1 | A-2 | A-3 | A-4 | ||||||
| 5 | Vero Beach Embroidery | VB-1 | VB-2 | VB-3 |
Step 2 — Write the XML tags in a separate file
Open Notepad (or any plain-text editor) and write the following XML tags:
<!-- Column A = Ledger Name; Columns B-K = Alias 1-10 -->
<XMLTAGS CELLREFERENCE="A1" xmlns:UDF="TallyUDF">
<MASTER TYPE="LEDGER">
<NAME.LIST>
<!-- Ledger name -->
<NAME COLUMNREFERENCE="A"/>
<!-- ALIAS-1 -->
<NAME COLUMNREFERENCE="B"/>
<!-- ALIAS-2 -->
<NAME COLUMNREFERENCE="C"/>
<!-- ALIAS-3 -->
<NAME COLUMNREFERENCE="D"/>
<!-- ALIAS-4 -->
<NAME COLUMNREFERENCE="E"/>
<!-- ALIAS-5 -->
<NAME COLUMNREFERENCE="F"/>
<!-- ALIAS-6 -->
<NAME COLUMNREFERENCE="G"/>
<!-- ALIAS-7 -->
<NAME COLUMNREFERENCE="H"/>
<!-- ALIAS-8 -->
<NAME COLUMNREFERENCE="I"/>
<!-- ALIAS-9 -->
<NAME COLUMNREFERENCE="J"/>
<!-- ALIAS-10 -->
<NAME COLUMNREFERENCE="K"/>
</NAME.LIST>
<PARENT>Sundry Debtors</PARENT>
<ISBILLWISEON>Yes</ISBILLWISEON>
<AFFECTSSTOCK>No</AFFECTSSTOCK>
<ISCOSTCENTRESON>No</ISCOSTCENTRESON>
</MASTER>
</XMLTAGS>
- The first
NAME(COLUMNREFERENCE="A") is the ledger name; theNAMEtags for Columns B to K are its Alias 1 to Alias 10 — see udiMagic XML tags for the full tag/attribute reference. - Comments are written using the <!-- --> syntax.
PARENTsets the group the ledgers are created under (hereSundry Debtors).
Step 3 — Save the file
Save it as ledger-with-multiple-aliases-xml-tags.xml. In the
Save as type box, choose All Files — otherwise Notepad appends
.txt and you'll end up with
ledger-with-multiple-aliases-xml-tags.xml.txt instead.
Step 4 — Import into Tally
- Start Tally Prime and open the company you want to import into.
- Minimize Tally (leave it running).
- Start udiMagic and select
Excel to Tally. - Select option
Masters. - Browse to select both the Excel sheet and the XML tags file — you're prompted for the XML file on the same screen as the Excel sheet.
- Follow the wizard to complete the import.
