Import Bank Statement from Excel into Tally

Use the Bank templates to import your bank statement data from Excel into Tally as Receipt, Payment, or Contra vouchers

Entering bank statement data into Tally manually is time-consuming and error-prone, especially when handling large volumes of transactions. udiMagic solves this by allowing users to bring bank statement data from Excel directly into Tally as Receipt, Payment, or Contra vouchers, using two standard templates suited to different statement formats — one with separate withdrawal/deposit columns, and another using a single amount column with a debit/credit indicator.

This guide walks through selecting the right template, preparing statement data correctly, mapping non-standard bank formats when needed, and running the import safely. It also covers reviewing imported entries in Tally's Daybook and avoiding duplicate imports, ensuring bank reconciliation stays accurate, consistent, and efficient across every import cycle.

Core Features

Choose the Correct Bank Statement Template

Two standard Excel templates are provided, one for each amount layout. Vouchers-Bank-statement.xls uses separate WITHDRAWAL and DEPOSIT columns, while Vouchers-Bank-statement-Single-Column-Dr-Cr.xls uses one AMOUNT column with a DR / CR indicator. The user selects the template which matches their bank statement.

Prepare Bank Statement Data in Excel

The user then places statement data into the chosen template, keeping mandatory fields (marked in red on the workbook) intact — DATE, amount fields (WITHDRAWAL/DEPOSIT or AMOUNT/DR-CR), and Bank Ledger Name. Optional fields like NARRATION and CH.NO can be filled when available.

Specify Bank and Other Ledger Details

Bank Ledger Name is mandatory and can be entered once (in cell F2) or row-by-row if multiple bank ledgers apply. Other Ledger Name is optional; if left blank, transactions default to Suspense A/c. Similarly, if Group for Other Ledger isn't specified, new ledgers are automatically created under a group called New Ledgers — so users should review blank entries before finalizing the import.

Assign Voucher Number and Prevent Duplicate Entries

VoucherType is optional and supports Receipt, Payment, or Contra vouchers. VoucherNo is also optional, but supplying it (together with date and voucher type) creates a unique identifier for each transaction. 𝘁𝗵𝗶𝘀 𝗶𝘀 𝘁𝗵𝗲 𝗸𝗲𝘆 𝗺𝗲𝗰𝗵𝗮𝗻𝗶𝘀𝗺 𝗳𝗼𝗿 𝗽𝗿𝗲𝘃𝗲𝗻𝘁𝗶𝗻𝗴 𝗱𝘂𝗽𝗹𝗶𝗰𝗮𝘁𝗲 𝗲𝗻𝘁𝗿𝗶𝗲𝘀 𝗼𝗻 𝗿𝗲-𝗶𝗺𝗽𝗼𝗿𝘁.

Bank Reconciliation

Put the date in Bankdate column given in template. This will auto reconcile your bank statement.

Map a Non-Standard Bank Statement Format

When a bank's Excel export doesn't match the standard template columns, udiMagic's custom-template feature lets users map their own sheet to a standard template. This involves selecting Excel to Tally → Create Custom Template, choosing the standard template and source file, mapping columns, and saving — which generates a reusable mapping file for future imports.

Avoid Duplicate Imports

Because the templates lack a built-in unique identifier, re-entering the same sheet can duplicate entries in Tally. Supplying VoucherNo (combined with date and voucher type) mitigates this risk. Best practice is to track which sheets have already been imported and check duplicate-import implications before repeating an import.

Frequently Asked Questions

Use the template that matches the way your bank statement presents the amount: Separate debit/credit amounts → Vouchers-Bank-statement.xls. One amount column with a DR / CR indicator → Vouchers-Bank-statement-Single-Column-Dr-Cr.xls.

Suspense A/c is used automatically if Other Ledger Name is not given.

If no group is specified, the ledger is created under a group named New Ledgers.

Check whether the same Excel sheet was imported more than once. Repeated imports of the same sheet can duplicate entries as there is no unique ID.
